Invoices, Payment Methods and Paying in EGP or USD

Your Cloudesta invoices are in the client area under Billing → My Invoices. You can pay them online by card through Kashier or with any other method listed on the invoice, and you can download each one as a PDF. Invoices are issued in your account currency, which is EGP by default with USD also available. Unpaid invoices trigger email reminders. Services that stay overdue may be suspended, and they are normally reactivated automatically once the invoice is paid.

This guide applies to every Cloudesta product: shared hosting, Cloud VPS, dedicated servers, n8n hosting and email. It shows you how to find, pay and manage your invoices, keep your billing details up to date, and fix the most common payment problems.

Prerequisites

  • Access to your Cloudesta client area login (email and password).
  • Access to the email address on your account, because invoices and reminders are sent there.
  • A bank card enabled for online payments, or access to another payment method shown on your invoice.

1. Where do I find my Cloudesta invoices?

Log in to the client area at https://cloudesta.com/clientarea.php, then go to Billing → My Invoices. Each invoice in the list shows its number, invoice date, due date, total and status. The status is one of the following:

  • Unpaid: waiting for payment.
  • Paid: the payment has been recorded.
  • Cancelled: the invoice is no longer due, for example because the order was cancelled.
  • Refunded: the payment was returned to you.

Renewal invoices are generated automatically a number of days before each service's next due date. Each new invoice is emailed to the account's primary address. If you cannot find an invoice email, open the menu under your name at the top of the client area and choose Email History. That page shows every message the system has sent you.

2. How do I pay an invoice by card or another method?

  1. Go to Billing → My Invoices and click the unpaid invoice.
  2. In the Payment Method drop-down at the top of the invoice, choose your method. For card payments, choose the Kashier option.
  3. Click Pay Now. You are redirected to Kashier's secure payment page.
  4. Enter your card details and complete your bank's verification step (usually a one-time code sent by SMS).
  5. Wait to be redirected back to the invoice. Do not close the browser tab while the payment is processing.

Card data is entered on the gateway's page, not on Cloudesta's site. Any other available methods, such as bank transfer, are listed in the same drop-down. When you select one, the invoice shows that method's instructions. For manual methods like bank transfer, write the invoice number in the transfer reference. Then open a ticket with the transfer receipt so the payment can be matched to your invoice.

Important: Pay each invoice only once. If the page shows an error after your card was charged, do not pay again. Follow the steps in "Common problems" below instead.

3. Can I pay in EGP or USD?

Yes, both currencies are supported. EGP is the default. On the order pages you can switch the displayed prices between EGP and USD using the currency selector before you check out.

Once you have an account, your invoices are issued in the currency set on that account. You cannot switch it per invoice. To move an existing account from EGP to USD or the other way round, open a support ticket. Note that a currency change applies to future invoices, and invoices already issued keep their original currency.

If you pay in USD with an Egyptian card, make sure your bank allows international or foreign-currency online payments. Your bank may also apply its own exchange rate and fees.

4. How do I add account credit and use it on invoices?

Prepaying credit is useful if you want renewals covered without paying each invoice separately. To add credit:

  1. Go to Billing → Add Funds.
  2. Enter an amount within the minimum and maximum limits shown on the page.
  3. Choose a payment method, click Add Funds, and pay the deposit invoice that is created.

Your credit balance then appears in the client area. When you open an unpaid invoice, an Apply Credit box lets you use part or all of your balance on it. Credit is held in your account currency.

5. How do I download a PDF invoice or receipt?

Open any invoice from Billing → My Invoices and click Download to save it as a PDF. Click Print instead if you want a printed copy.

Once an invoice is paid, the same PDF works as your receipt. It shows the status PAID, and its Transactions table lists the payment date, the gateway and the transaction ID. A payment confirmation email is also sent when the payment is recorded.

Your billing details are printed on the invoice when it is generated. Update them before an invoice is created, as described in section 7.

6. What happens if an invoice is overdue?

If an invoice passes its due date unpaid, the usual sequence is:

  • Reminders: you receive overdue reminder emails at set intervals.
  • Late fee (if applicable): if a late fee applies under your terms of service, it is added as a separate line on the invoice.
  • Suspension: after a grace period, the related service is suspended. Websites, email and servers stop working, but your data is kept for the time being.
  • Termination: if a service stays suspended and unpaid for a longer period, it may be terminated and its data removed. Check the terms of service for the exact periods.

Paying the overdue invoice normally unsuspends the service automatically within a few minutes. If it is still suspended about 30 minutes after payment, open a ticket and include the invoice number.

Tip: Business-critical services such as a production VPS or an n8n workflow server should not be allowed to reach suspension. Keep account credit available, or pay renewal invoices as soon as they arrive.

7. How do I update billing details and company or tax information?

  1. Click your name at the top of the client area and choose Edit Account Details.
  2. Update your name, company name, address, phone number and email.
  3. If a Tax ID field is shown, enter your tax registration number in it.
  4. Click Save Changes.

To have invoice emails also sent to an accountant, use Contacts from the same menu. Add a contact there and enable invoice email notifications for that contact.

Changes apply to invoices generated after you save. If an existing invoice needs corrected company or tax details, open a ticket and ask for it to be reissued.

Verify it works

  • In Billing → My Invoices, the invoice status shows Paid.
  • The invoice's Transactions section lists your payment with a transaction ID.
  • You received a payment confirmation email. You can also check for it in Email History.
  • Under Services → My Services, the related service shows Active and its next due date has moved forward.

Common problems

Payment was taken from my card, but the invoice is still unpaid

This usually means the gateway's confirmation reached the billing system late. That can happen if you closed the tab before being redirected. Wait 15 to 30 minutes and refresh the invoice, and do not pay again. If it is still unpaid after that, open a ticket with the details below so billing can match the payment manually:

Invoice number: #12345
Amount and currency: 1,500.00 EGP
Payment date and time: 2025-01-15 14:32
Gateway: Kashier (card)
Last 4 digits of card: 1234
Bank SMS or transaction reference: <paste here>

My card is declined

Check the following with your bank:

  • Online (e-commerce) payments are enabled on the card.
  • International transactions are allowed, if you are paying in USD.
  • The amount is within your daily limit.
  • You completed the one-time code verification step.

Then try again, or use a different card or another method listed on the invoice.

I paid the same invoice twice

Open a ticket with both transaction references. The duplicate amount can be added to your account as credit or refunded to the original payment method. Card refunds can take several business days to appear, depending on your bank.

I am not receiving invoice emails

Check your spam folder and confirm the email address in Edit Account Details. You can still find every invoice in My Invoices and every sent message in Email History.

Frequently asked questions

Can I change my account from EGP to USD myself?

No. The display currency can be switched on the order pages, but an existing account's billing currency is changed by Cloudesta staff. Open a support ticket to request the change.

Is my service reactivated automatically after I pay an overdue invoice?

Normally yes, within a few minutes of the payment being recorded. If it is still suspended after about 30 minutes, open a ticket with the invoice number.

Can I get an invoice with my company name and tax number?

Yes. Add your company name and tax ID in Edit Account Details before the invoice is generated. For invoices that already exist, ask support to reissue them.
